This Privacy Policy explains how Flywheel ("Flywheel," "we," "us," or "our") collects, uses, shares, and protects information when you visit flywheelhq.ai or use the Flywheel platform and related services (collectively, the "Service").
Information we collect

- Account information, such as your name, email address, workspace, role, and authentication details.
- Customer data that you or your organization imports, creates, or connects, including business accounts, contacts, campaigns, signals, tasks, and related notes or content.
- Connected-service data that you authorize us to access from services such as Google, including email, calendar, and contact information.
- Usage and technical information, including device, browser, IP address, timestamps, feature usage, diagnostic data, and security logs.
- Communications you send to us, including support requests and product feedback.
How we use information
We use information to:
- Provide, operate, secure, and support the Service.
- Synchronize authorized data sources and carry out actions you request.
- Generate campaign intelligence, recommendations, summaries, and other assisted workflows.
- Maintain accounts, communicate about the Service, and respond to support requests.
- Monitor reliability, prevent fraud or abuse, and improve product performance.
- Comply with legal obligations and enforce our agreements.
Google user data
If you connect a Google account, Flywheel requests only the permissions shown during Google’s authorization flow. Depending on the features you enable, those permissions may allow Flywheel to read, create, modify, or send email, manage calendar information, and access contacts. We use this data only to provide and improve the user-facing features you request, such as connected inbox workflows, scheduling, contact context, and reply processing.
Flywheel’s use and transfer of information received from Google APIs adheres to theGoogle API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or permit humans to read it except when necessary for security, legal compliance, support you explicitly request, or where you have given specific consent.
AI-assisted features
Flywheel may process selected customer data with contracted AI service providers to produce intelligence, recommendations, enrichment, or draft content requested through the Service. You remain responsible for reviewing outputs before relying on them or using them in external communications.
How we share information
We may share information only as needed with:
- Service providers that support hosting, authentication, communications, data synchronization, enrichment, analytics, security, and AI-assisted features.
- Your organization and its authorized workspace administrators and members.
- Authorities or other parties when required by law or necessary to protect rights, safety, and the integrity of the Service.
- A successor in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.
We do not sell personal information.
Data retention and deletion
We retain information for as long as needed to provide the Service, fulfill the purposes described here, meet contractual or legal requirements, resolve disputes, and protect the Service. Retention periods vary by data type and workspace configuration. You may disconnect an integration or ask us to delete applicable personal information by contacting us.
Security
We use administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices and rights
Depending on your location, you may have rights to access, correct, delete, restrict, or export personal information, or to object to certain processing. You can also revoke Flywheel’s access to Google data from your Google Account permissions and disconnect integrations from Flywheel. Contact us to exercise a privacy right; we may need to verify your request.
International processing
Flywheel and its service providers may process information in countries other than where you live. Where required, we use appropriate safeguards for international transfers.
Children
The Service is intended for business users and is not directed to children under 13.
Changes to this policy
We may update this policy as the Service evolves. We will post the updated version here and revise the “Last updated” date. If changes are material, we will provide additional notice where required.
